Quick Flash is a comprehensive solution for the roofing industry, enabling users to manage the entire roofing ordering and job management process, including drawing and ordering flashings, ordering roofing materials, managing job tasks, and coordinating with manufacturers.

When you use Quick Flash, we may collect the following types of information:

a) Personal Information

  • Name, email address, phone number, and company details (when you create an account or communicate with us)
  • Login credentials and authentication information (OAuth tokens for calendar integrations, but never your password)
  • User preferences and settings

b) Order and Job Management Data

  • Flashing drawings and specifications for manufacturing
  • Orders for roofing materials, including roofing sheets, fixings, and underlay
  • Job-related details such as site measures, site meetings, and installation schedules
  • Manufacturer interactions through the manufacturer portal

c) Calendar Data

  • Events, tasks, and scheduling information from Google Calendar, Microsoft 365 Calendar, and iCloud Calendar
  • Availability and scheduling preferences for managing job-related tasks

d) Usage Data

  • Log files, device information, browser type, and IP address
  • Interaction data such as time spent on the app, features used, and order history

e) Location Data

With your permission, we may access and collect location data from your device:

  • GPS Location: We access your device's GPS location to improve address autocomplete suggestions when entering job sites, client addresses, or company addresses. This helps provide more relevant location-based suggestions.
  • Timesheet Location: When clocking in or out for work, we may collect your GPS coordinates to verify your work location and assist with accurate time tracking. Your location can also be used to automatically clock in and out when you arrive at or leave job sites.
  • Background Location Updates: Quick Flash monitors your location in the background and automatically sends updated location data to our servers when you move more than approximately 500 meters from your last recorded location. This enables us to provide timely notifications about when you need to leave to arrive at job sites on time.
  • Location Biasing: We use your approximate location to improve the accuracy of Google Maps autocomplete suggestions, making it easier to enter addresses relevant to your area.

Location data is accessed only when you grant permission through your device settings. You can revoke location access at any time through your device's privacy settings. If you deny location access, the app will continue to function, but address autocomplete suggestions may be less accurate and job departure notifications will not be available.

Location Data Storage:

Location data collected for timesheet clock-in/out is stored securely with your timesheet records. When your location is updated (after moving more than approximately 500 meters), the new location overwrites your previous location - we do not maintain a history or tracking log of your movements, only your current location is stored. Location data used for address autocomplete is processed in real-time and is not permanently stored on our servers beyond what is necessary for the immediate functionality.

f) Log Data

In the event of an error, we may collect log data such as device IP address, device name, operating system version, app configuration, timestamps, and other technical details to help us diagnose and resolve issues.

3. How We Use Your Information

We use the collected information to:

Enable Roofing Job and Order Management:

  • Allow users to draw and order flashings
  • Facilitate ordering of roofing materials, fixings, and underlay
  • Manage job tasks, such as site measures, site meetings, and installations
  • Provide order tracking and status updates

Integrate with Calendar Services:

  • Schedule and manage roofing job tasks
  • Display, modify, and update job-related tasks within your calendars

Facilitate Manufacturer Collaboration:

  • Allow chosen manufacturers to view orders via the manufacturer portal
  • Restrict manufacturer access once an order is marked as complete

Enhance User Experience:

  • Improve app functionality and optimise workflow
  • Provide customer support and respond to inquiries
  • Ensure security and prevent fraudulent activities
  • Use location data to improve address autocomplete accuracy and verify work locations for timesheet tracking

While we strive to protect your data, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Data Storage Disclaimer:

Our servers are currently hosted in New Zealand, and by using Quick Flash, you consent to the transfer and storage of your data within this jurisdiction. If you access the service from other regions, your data may be subject to the laws of the country where it is stored.

6. Data Sharing and Disclosure

We do not sell, trade, or rent your personal data. We only share your data in the following cases:

  • With Calendar Providers: To enable syncing with Google Calendar, Microsoft 365 Calendar, and iCloud Calendar
  • With Chosen Manufacturers: To provide them access to your orders via the manufacturer portal. Once an order is marked as complete, manufacturers can no longer access it
  • With Service Providers: Trusted third-party services that help operate our app (e.g., cloud hosting, analytics), bound by confidentiality agreements
  • For Legal Compliance: When required by law, court order, or to protect the rights and safety of Quick Flash, users, or the public

How We Access Location Data

  • Address Autocomplete: When you enter addresses for jobs, clients, or company information, we access your device's GPS location to provide more relevant address suggestions through Google Maps autocomplete. This improves the accuracy of location-based suggestions.
  • Timesheet Tracking: When you clock in or out for work using the timesheet feature, we may collect your GPS coordinates to verify your work location and assist with accurate time and location tracking.
  • Automatic Clock In/Out: Your current location data can be used to automatically clock in and out when you arrive at or leave job sites, providing convenient hands-free time tracking.
  • Location Biasing: We use your approximate location to bias Google Maps autocomplete results, making it easier to find and enter addresses in your local area.

Your Control Over Location Data

  • Location access is requested only when needed for specific features (address entry, timesheet clock-in/out)
  • You can grant or deny location permissions through your device's privacy settings at any time
  • If you deny location access, the app will continue to function normally, but address autocomplete suggestions may be less accurate
  • You can revoke location permissions at any time through your device's operating system settings

How We Store Location Data

  • Location data used for address autocomplete is processed in real-time and is not permanently stored on our servers
  • GPS coordinates collected during timesheet clock-in/out are stored securely with your timesheet records for verification and record-keeping purposes
  • When your location is updated (after moving more than approximately 500 meters), the new location data is sent to our servers and overwrites your previous location. We do not maintain a history or tracking log of your location movements - only your current location is stored at any given time
  • Your current location is used to calculate travel time and send you notifications when you need to leave to arrive at job sites on time
  • Location data is encrypted in transit and at rest, consistent with our overall data security practices
  • We do not share your precise location data with third parties except as necessary for the Google Maps autocomplete service (which is governed by Google's privacy policy)

Location Data and Third-Party Services:

When using Google Maps autocomplete, your location data may be processed by Google in accordance with their privacy policy. We recommend reviewing Google's Privacy Policy for information about how they handle location data.

We do not use location data for advertising, marketing, or any purpose other than the functionality described above.

9. User Control and Data Deletion

  • You can revoke Quick Flash's access to your calendar at any time via the settings menu in Quick Flash or through your Google, Microsoft, or Apple account settings
  • You can delete your account and data by contacting us at [email protected]
  • Calendar data is only accessed when necessary and is not stored beyond active use
  • Orders removed from the manufacturer portal are no longer accessible to third parties

11. Children's Privacy

Quick Flash is not intended for children under 13. We do not knowingly collect personal information from minors. If we become aware that a child has provided us with personal information, we will delete it immediately.

We may update this policy to reflect changes in legal requirements, our services, or user feedback. Any modifications will be posted with an updated "Last Updated" date. Users will be notified of major changes through the app or email.
